Ensuring a Safe and Enjoyable Workplace Christmas Event: Employer Tips for Hosting a Great Event

By the time the boss left the work party at midnight, the team had been drinking steadily since 5 p.m. With a cheerful wave, the boss handed over the company card and told everyone to “enjoy yourselves,” leaving the group in high spirits - and with an open tab.
By 1 a.m., the drinks - and the confidence - were flowing. Steve, fuelled by tequila shots and peer encouragement, decided it was time to moonwalk across the dance floor. Buoyed by laughter and applause, he boldly extended his routine to the staircase, attempting a “smooth criminal” descent.
 
Unsurprisingly, it ended in disaster. Steve missed a step, tumbled down the stairs, and landed sprawled at the bottom, groaning more from embarrassment than pain. As the festive season approaches, organising a workplace Christmas event can be a rewarding way to celebrate with employees. Here's your festive guide to ensuring jolly times without any hiccups related to workers' compensation.
 
Legal Obligations Under Queensland Law
 
In Queensland, as an employer, you are required by law to ensure a safe environment at work-related events, including Christmas parties. Here’s what you need to know in the lead up to and during the event:

  • Ensure the party is considered a work-related event
    • Ensure it is clear that it is organised by you, primarily attended by employees, and an expected celebration.
  • Conducting Safety Checks
    • Perform a thorough risk assessment of the event venue to identify and address any potential hazards;
  • Ensure that there is adequate supervision;
  • Ensure the safety of food and beverages.
  • Managing Alcohol Consumption
    • Have a responsible service of alcohol policy to prevent over-consumption;
    • Provide non-alcoholic beverage options and sufficient food to reduce the risks associated with alcohol.
  • Communicating Behaviour Guidelines
    • Remind employees of the company's code of conduct and behaviour guidelines before the event. Ensure everyone understands that inappropriate behaviour will not be tolerated.
  • Arranging Safe Transportation
    • Organise or recommend safe ways for employees to get home, such as taxis or ride-shares.
    • Plan the event timing so it finishes at a reasonable hour to minimise risks.
 
Workers' Compensation

  • Legal Advice: Suggest they seek help from a legal advisor specialising in workers' compensation if needed.
 
Not every incident at a Christmas party will be covered under workers' compensation. For instance, if an employee’s injury results from reckless behaviour or breaking company rules, their claim might be denied.
